Pretext

The Internal Vice President has historically been busy with organizing social events such as retreat, club-wide socials, and big-little pairings. This prevented the Internal Vice President from performing the duties of managing the finances and obtaining facilities effectively. The addition of the Vice President of Operations would allow the Internal Vice President to focus on the time consuming task of planning social events and facilitating club culture. It would also allow the President to focus on the future direction of the club.

Responsibilities

The Vice President of Operations would take over the responsibilities of managing the finances and obtaining facilities for Executive Committee (E-Team) and the club in general from the Internal Vice President (IVP).

The Internal Vice President will have an added responsibility in promoting diversity, equity, and inclusion within the club. The role of director and manager of social and professional activities now includes facilitating a safe environment within Blueprint. Some initiatives that have happened in the past is holding consent and bias busters workshops to educate members about maintaining a safe and inclusive culture. In terms of recruitment, the IVP would inform and advocate for a diverse outreach and selection.

Reason for VPO Addition

Finances have been a part of the IVP's responsibilities, but they were often relegated as a secondary role after cultivating club culture. This has limited the knowledge transfer of how the finances in Blueprint works. By creating a role that has the primary responsibility of managing Blueprint's coffers, we hope to have a more established and transparent process in how money is spent and obtained. This amendment and role addition will solidify the proposal to Formalize the Financial Process and ensure future E-Teams continue to keep Blueprint's finances healthy.

Reason for IVP Update

The IVP's role should be to foster and maintain a safe and inclusive internal culture for Blueprint's membership. While this has been done in the past and with the addition of the VP Operations role, this amendment gives an opportunity to formalize this in writing.

Although Blueprint has strove to recruit a more diverse membership, there hasn't been a dedicated position in E-Team to really push for DEI initiatives during the semester. Thankfully, there has been someone in leadership in the past to keep diversity top of mind during recruitment. As the role that drives club culture, IVP is the perfect role to be a voice for diversity within Blueprint.

Changes

IV. OFFICERS & ELECTIONS

1. Executive Committee

- 1. The Executive Committee shall be composed of a President, Internal Vice President, External Vice President, Vice President of Projects, Vice President of Technology, and Vice President of Design chosen at the end of the previous semester by election from the general membership.

2. President

- 7. A member of the Executive Committee shall assume the duties of the President in the event of the resignation, recall, or temporary or permanent disability of the President to perform his/her duties, until such time as a replacement is selected or elected. The order of succession is the order in which the offices are stated in the constitution: Internal Vice President, External Vice President, Vice President of Projects, Vice President of Technology, Vice President of Design.

3. Internal Vice President

- 2. The Internal Vice President shall be responsible for obtaining facilities for meetings and activities of the Executive Committee.
- 3. The Internal Vice President shall be responsible for management of the budget, distributions of funds, and fundraising.
- 4. The Internal Vice President shall, within the fourth week of the semester, direct a meeting of the Executive Committee to propose and discuss a budget for the semester. The budget must gain consent of the Executive Committee to be placed in effect. The Internal Vice President is responsible for making sure that the budget is followed and not exceeded.
+ 2. The Internal Vice President shall promote a safe and inclusive environment within Blueprint.
+ 3. The Internal Vice President is responsible for creating strategies for advancing and educating members about diversity, equity, and inclusion within Blueprint.

8. Vice President of Operations

+ 1. The Vice President of Operations is responsible for obtaining facilities for meetings and activities of the Executive Committee and Blueprint as a whole.
+ 2. The Vice President of Operations is responsible for management of the budget, distributions of funds, and fundraising.
+ 3. The Vice President of Operations shall, in collaboration with the outgoing Vice President of Operations, conduct a financial audit of the previous semester's budget and expenses prior to creating a new budget.
+ 3. The Vice President of Operations shall, within the fourth week of the semester, direct a meeting of the Executive Committee to propose and discuss a budget for the semester. The budget must gain consent of the Executive Committee to be placed in effect. The Vice President of Operations is responsible for making sure that the budget is followed and not exceeded.

Other checklist (remove once completed):

    • If it is a feature, add the person who made the feature to assignees
  • Prepend title with the type (i.e. "Amendment:")
